Use the name the reservation uses
A front desk searches its system by the name on the booking, not the name you use for the person. A guest booked as Katherine will not be found under Kate, and a room booked by a company or a partner may not carry the recipient's name at all. Write the booking name, add a confirmation number if you have one, and include the dates of the stay so the desk knows whether the guest is arriving, in house, or already gone. A room number is a bonus, and is often unassigned when you order.
Someone calls the hotel first

Hotels almost never let a courier upstairs, so the realistic picture is this: we hand the arrangement over downstairs, the desk calls the room or holds it until the guest returns, and many properties will carry it up themselves if you request that in the notes. For an arriving guest, the desk keeps it cool and presents it at check-in.
Timing it around check-in
Deliveries go out in two windows, 10 AM to 1 PM and 1 to 5 PM. Same-day orders are delivered in the 1 to 5 PM window, guaranteed, which lines up with a standard afternoon check-in. Order before 11 AM, Monday through Saturday, for same-day. For flowers waiting when a guest walks in, schedule for the check-in day; for a birthday or an anniversary evening, the morning window that day is safer. If the guest has checked out
Plans move. Hotels do not forward flowers, and an arrangement left for a departed guest is rarely recoverable, so message the studio as soon as you know. If we hear before the delivery window, we will re-route to another address in our area or hold the order for a new date.
